Academic Policies for the Radiography program
KCTCS is committed to a policy of providing educational opportunities to all qualified students regardless of economic or social status and will not discriminate on the basis of race, color, sexual orientation, or physical or mental ability.
Radiography Program Grading Scale
The Radiography program grading scale does not align with the Madisonville Community College general education grading scale. Below is the grading scale that is used by the Radiography program.
A= 93-100
B= 85-92
C= 77-84
D= 69-76
F= 0-68
Note: To maintain your seat in the program you must pass every class with a grade of “C” or higher.
Admission and Transfer Policies
For information on the MCC admission policies for new and transfer students, please click here. Enrollment at MCC does not mean you are enrolled in the Radiography program. There is a separate process listed below to apply to the program. Once the admissions committee meets you will be emailed a decision on rather you were accepted into the program or not.
Enrollment in the Radiography Program may be limited because of available facilities within the community and the college.
Each applicant must submit the following credentials by May 1st in order to be considered for admission by the committee as well as attend a Preadmission Conference:
- Completed application for admission to the college.
- Official high school or the GED certificate.
- Transcripts of all postsecondary education or training.
- ACT score report.
- A statement verifying at least a four-hour observation/work experience in a Radiology Department must be completed and returned to the program director by May 1st. (Official college observation form must be used).
- Submit program application form online before May 1st.
Preference may be given to applicants who have the following:
- ACT composite of 21 or above.
- A GPA greater than 2.5 in general education coursework required for the Radiography program.
- A cumulative GPA greater than 2.5 or better in 10 hours or more college credit applicable to the Radiography curriculum.
- Completion of biological and physical sciences and mathematics courses listed in the Radiography curriculum with a grade of “C” or better.
- Registration and or license in allied health or nursing profession.
- Active status on the nurse aid registry.
Student Withdrawal, Probation, Suspension, and Dismissal Policies and Procedures
Dropping classes and online withdraw process
All students who need to drop, or withdraw from, a class(es) must submit a request online through their student self-service account. Students are responsible for any and all financial delinquencies which result from failure to complete the withdrawal process by the dates established in the Academic Calendar. Students who are enrolled in an online class through a KCTCS college other than MCC are advised to check the Academic Calendar for that campus, as dates may vary.
Before the semester begins, students may drop classes via their student self-service, in person at the Records Office or by emailing the Records Staff from their KCTCS email address. Emails must include student ID# and course details. As of the first day of the semester, students must submit drop requests using their student self-service.
Students who withdraw after the 100% date will receive a 50% refund and a grade of “W” until the last day to withdraw at the 50% rate. Students may continue to withdraw from classes and receive a “W” until the established, last date to drop. However, after mid-term, students must have instructor permission to withdraw. Instructors are notified for permission once the student’s online withdraw request is submitted. Permission will be granted at the instructor’s discretion.
Students who stop attending class and do not officially withdraw, will receive a failing grade.
NOTE: If a student is withdrawing from the Radiography Program they must meet with the Program Director prior to submitting the online withdraw request. Failure to do this will cause a delay in the Program Director approving the withdraw request.
Academic probation, suspension, and dismissal
The faculty and staff at Madisonville Community College are interested in student success and want to provide the necessary assistance to ensure students are afforded such opportunity. The academic probation and suspension systems are based on grade point average (GPA). When students earn a GPA below a 2.0 at the end of a term, they will be notified by the Registrar and Dean of Academic Affairs, respectively.
Academic Probation: A student earning a cumulative GPA below a 2.0 at the end of a term shall be placed on academic probation. Further semesters on academic probation may lead to academic suspension. Students will be encouraged to meet with their advisor and to take advantage of available student support resources. A student shall be removed from academic probation by earning at least a 2.0 cumulative GPA.
Academic Suspension: If a student is placed on academic probation for two consecutive terms and does not earn either a cumulative GPA or a term GPA of at least a 2.0 in the third term, the student shall be academically suspended. Non-enrollment has no effect on probation status. The president (or designee) may grant an exception based upon an individual’s case. A student on academic suspension may not enroll in courses which count toward a KCTCS degree.
Reinstatement: A student who has been academically suspended may be reinstated by the president (or designee) after remaining out of the college for at least one 16-week semester and providing evidence of ability to perform at the level required. A student who has been academically suspended shall, upon reinstatement, be placed on academic probation and be subject to academic suspension if the student has failed to earn a current term GPA of 2.0 during the first term of reinstatement. Upon a second suspension, a student may be reinstated by the president (or designee) after remaining out of the college for at least two 16-week semesters and providing evidence of ability to perform at the level required.
Drug-Free Policy Drug Testing
KCTCS is committed to providing a safe environment for students, faculty, and staff. KCTCS is a drug-free facility. The following policies apply:
- Being under the influence of alcohol or other drugs or the use, possession, distribution, manufacture, or sale of illegal or unauthorized drugs is prohibited and is punishable as a felony offense on campus or within 1,000 yards of the campus. Conduct that violates this definition, poses unacceptable risks, and disregards the health, safety, and welfare of members of the KCTCS college community shall result in disciplinary action up to and including suspension or termination. KCTCS colleges are in compliance with the Drug-Free Workplace Act of 1988 and Drug-Free Schools and Communities Act Amendment of 1989.
- Campus includes classrooms, laboratories, and clinical settings.
- Some clinical areas require drug tests. A student may be assigned to a clinical facility that makes this a requirement. Students must supply a list of any and every prescription or over-the-counter medication at the time of testing. During the students clinical rotation, a facility may request a blood or urine test at any time. Failure to comply with the request of the clinical facility will result in dismissal from the program. Students, whose drug test results are positive, in accordance with the KCTCS Code of Student Conduct, will be removed from clinical and dropped from the program.
In addition to the above-stated policy the Radiography Program at Madisonville Community College also requires a Background check and drug screening every year in July or August once accepted into the program to be done prior to a student starting their clinical rotation.
If for any reason a student has a misdemeanor or felony charge they may not be able to attend clinical and/or sit for their National registry examination. It is recommended that if this applies to a person applying to the program they should discuss this matter with the program director. *At any time a clinical site can request an additional drug and/or alcoholic screening. If the student refuses to participate in this test they will immediately be dismissed from the program.
National Board Exam
In order to complete ones education and become licensed in Radiographer a graduate must take a National board exam. If a candidate has a previous criminal record not limited to but to include
- Felony charges and conviction
- Misdemeanor charges and convictions
- Military court-martials; and/or
- Disciplinary actions taken by a state or federal regulatory authority or certification board; and/or
- Honor code violation

Re-admission
A Student who withdraws from or earns less than a grade of "C" in any course with the Radiography program prefix will be dropped from the Radiography program.
The process for readmission to the program is as follows:
- Readmission to the Radiography Program will be dependent upon available resources;
- To be considered for readmission by the Radiography Admissions Committee, the applicant must submit a written request to the Radiography Program Director and meet current admission guidelines; and
- Students who wish to apply for readmission to the program must do so three (3) months before the expected enrollment date.
Further Consideration
- If more than one year has elapsed since the end of enrollment in the Radiography Program, an applicant must repeat all radiography courses unless the student has demonstrated current competency by passing exams equivalent to the comprehensive course final examinations (both written and clinical skills) if available at the college to which the student is applying for admission;
- A student may be readmitted to the Radiography Program one time. The Radiography Admissions Committee may recommend readmission a second time if a student furnished sufficient evidence of remedial study, additional preparation, or the resolution of factors contributing to unsuccessful course completion;
- Application is not a guarantee of readmission to the program; and
- If an individual student fails the American Registry of Radiologic Technologists ARRT certification exam three (3) times, he or she must repeat the Radiography courses of the curriculum.
Discrimination/Grievance Procedures
If a student has an issue or complaint concerning an instructor or course, the student should first speak with the instructor. If the two are unable to resolve the issue, the student may then carry the complaint further according to the following protocol:

Radiography Program Complaint Resolution Policy
Students have the right to grieve and/or complain. If they believe that they have been dealt with unfairly, they have the right to express this. They are requested to notify the program director in writing within ten school days of any allegations or complaints. *Students should note the timeline.*

The program director will investigate the complaint and will answer the complainant within 5 working days. (Days can be changed by agreement of both parties).
If the complainant is not satisfied with the response, he/she should notify the college Dean of Allied Health and Nursing. The Dean of Allied Health and Nursing will investigate and respond to the complaint within 10 working days.
